Community Affairs Coordinator

The ASC is seeking an experienced Community Affairs Coordinator who has at least 2 years of experience in sporting event and/or volunteer coordination.

Essential Functions of the Position

This position is responsible for coordinating all volunteer efforts for the Augusta Sports Council while acting as a liaison to engage and educate local Community Sports Groups (CSG’s) of our mission and purpose. This is a full-time position.

Core Responsibilities

  •  Serve as volunteer coordinator for all events as needed, surveying staff to assess specific needs to ensure events are successful

  •  Determine year-round volunteer needs, develop descriptions for volunteer positions, recruit and manage local volunteers for events, conduct volunteer training as needed, maintain volunteer databases, and create emergency plans for volunteers at events (as needed).

  •  Serve as IRONMAN ® 70.3 ® Volunteer Director and oversee IRONMAN Foundation Grant Program

  •  Update, manage, and grow relationships with all Community Sports Groups (CSG’s) acting as a liaison to better ensure success of local partnership’s events

  •  Develop a communications plan with the CSG’s that involves information-sharing, activity information, referrals for potential community events, and community-wide communication activities.

  •  Work with Community Sports Groups and Event Manager to assist with recruiting new national and regional sporting events to the Augusta area

  •  Works with the CEO and Communications Manager for the annual State of Tourism event with Destination Augusta. Work with the CEO to ensure sponsors are recruited and properly recognized at the event.

  •  Maintain all databases with ongoing documentation to include all event actions and support for events and leads

  •  Track event impact and produce reports as needed pertaining to volunteer support

  •  Support all logistics for local community events including but not limited to areas of venue support, invitations, volunteer management, media guidance, partnership fulfillments and government relations

  •  Follow event budgets as identified and approved by CEO

  •  Contributes to a positive work environment that fosters teamwork and provides for personal and organizational growth for self and co-workers

  •  Work with all staff to ensure that all local supporters are properly thanked and recognized through acknowledgement letters, thank you notes, and phone calls

  •  Maintain communication and relationships with all local vendors

  •  Target leads for local partnerships and work with the CEO to enhance fundraising efforts in order to augment the

  • budget

  •  Assist with Developing, implementing and maintaining event plans to promote the work of the ASC. May also include assisting in presentations to community groups and civic organizations about the ASC and its mission.

  •  Assist Community Affairs & Marketing committee of the board of directors. Ensures accurate and timely updates for organization’s management and board of directors

  •  Other projects and duties that may, from time to time, be assigned by a supervisor

  •  Manage individual administrative tasks

  •  Evening meetings, weekend hours and occasional travel required

Requirements

  •  At least 2+ years of sporting event coordination

  •  Pattern of progressively responsible professional experience

  •  Bachelor’s degree or equivalent education and experience

Preferred Additional Requirements

  •  Experience in sports tourism

  •  Experience in communications or sales

  • Experience in live event execution 

Skills and Abilities

  •  Ability to work as a member of a team

  •  Ability to manage and recruit volunteers

  •  Knowledge of special events planning and management

  •  Strong communication skills via e-mail, phone calls, or in-person meetings, in order to convey information accurately and clearly

  •  Ability to problem-solve

  •  Ability to work independently and be self-motivated

  •  Strong attention to detail and time management skills

  •  Strong writing/editing and verbal skills

  •  Strong prospect research and negotiating skills

  •  Proficiency in the use of MS Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

  •  Work is generally performed in an office environment, but may also be required to perform job duties in an outside setting for events

  •  Ability to continuously stand, bend, and lift up to 20 pounds frequently

  •  Ability to work in outdoor settings for events

Work Environment

The Augusta Sports Council office is located in beautiful Downtown Augusta at 1010 Broad Street. The ASC shares office space with Destination Augusta.

Project Assistant (PA)

The ASC is seeking a Project Assistant (PA) to assist the staff of the Augusta Sports Council.

Essential Functions of the Position

This position is designed to assist the full-time staff of the ASC on a temporary part-time schedule.

Core Responsibilities

Communications/Marketing

  •  Responsible for updating ASC website, calendar of events, and social media as needed by staff

  •  Create flyers, posters and creative artwork as needed by staff

  •  Assist with research associated with monthly e-newsletter

  •  Communicate event promotion needs including but not limited to media releases, calendar postings to the marketing department as needed

  •  To assist as needed with event presentations to area groups

    Administrative

  •  Filling, mailing and basic office administrative needs as needed

  •  Provide support with sending out sponsorship information as needed

  •  Support meeting preparation

  •  Organization and ordering of office supplies

     Inventory of supplies, event and marketing materials

    Events/Sports Development

  •  Provide team support with special event preparation and execution as needed (some evening and weekend support may be required and hours will be agreed upon with CEO)

  •  Assist in obtaining quotes for services for events

  •  Updating vendor contact information

  •  Support/organize volunteer coordination and maintain volunteer database

  •  Organization of event materials and equipment as needed

    Community Affairs

  •  Assist with updating sports group database

  •  Collect upcoming event information from community sports groups to add to website/social media/e-newsletter content

Requirements

  • Strong communication skills and professional appearance

  • Solid organizational skills

  • College degree preferred.
